Your job.

We are seeking a highly organized and detail-oriented individual to join our team as an Entry Executive Assistant. Assisting the Operations Manager oversee the A-to-Z functions of running a Healthcare Recruitment Agency on a full-time basis. This means you are a team player, very organized and a squeaky wheel to get the task done.

Daily Functions are:

  • Maintain up-to-date and organized records of employee documentation. Organize files systematically for easy retrieval and record-keeping purposes.
  • Process reports for payroll preparation as needed, ensuring accurate and timely delivery of employee compensation.
  • Compile and generate reports for clients, providing them with essential information regarding our services.
  • Assist employees and supervisors with basic HR policy interpretation, benefits inquiries, hiring processes, etc. Redirect complex questions to the appropriate HR department staff.
  • Proactively seek and suggest solutions to overcome daily operational challenges, fostering a more efficient work environment.
  • Respond to various claims, including EDD Claims, Unemployment Claims, Wage Garnishments, and State Employment Compliance matters.

Qualifications:

  • High school diploma or equivalent (additional education or certification in related fields is a plus).
  • Previous experience in administrative or executive support roles preferred.
  • Familiarity with HR policies and basic employment regulations will be beneficial.
  • Proficiency in using standard office software, including Microsoft Office Suite.
  • Exceptional organizational and time-management skills.
  • Strong interpersonal and communication abilities, both written and verbal.
  • Ability to handle sensitive and confidential information with utmost professionalism.
  • Proactive problem-solving skills and the ability to adapt to changing priorities.
  • Strong attention to detail, ensuring accuracy in all tasks performed.
